A POS terminal, payment terminal and POS software can sit beside each other at one restaurant counter, but they do different work. Marketing pages often call all three POS machines, which causes bad comparisons and incomplete purchases.

Stripe distinguishes POS software as the operational interface and POS terminal as physical transaction hardware. Visa defines a payment POS terminal as the electronic device used to authorise and process payment-card transactions. Restaurant owners need both concepts separated.

## What POS software handles

Restaurant POS software knows menu items, variations, order type, tables, kitchen stations, discounts, service charge, VAT, payment method, staff permission and reports. It creates the business record.

Rosuii also offers online ordering, KDS, inventory and multi-branch features by plan. It can record cash, bKash and Nagad workflows, but a physical card terminal and acquiring contract remain separate unless an approved integration exists.

## What a billing terminal handles

A billing terminal is the phone, tablet, handheld or all-in-one computer that staff touch. It provides screen, processor, network, ports and sometimes a built-in printer.

It can be replaced while the cloud software and data continue. Check OS, browser, printer access and warranty. Do not pay for card-capable wording unless the device is certified and approved for the payment service you will use.

## What a payment terminal handles

The payment terminal captures card or contactless credentials, lets the customer enter PIN where needed and sends an authorisation request through the acquiring network. Settlement and MDR belong to the acquiring agreement.

A bank terminal does not know which burger variation was ordered or which kitchen station should cook it. The cashier may need to enter the amount on the terminal and record the approved payment in the restaurant POS unless there is a certified integration.

## A real restaurant flow

## Separate order, device and payment layers

POS software owns restaurant order and billing workflow; a POS terminal is hardware that may run it; a payment terminal communicates with an acquirer or payment service to accept an enabled payment method. One Android device may combine layers, but contracts, data, certification and failure states remain distinct.

Write requirements per layer so a vendor cannot answer supports POS when only a card terminal is offered.

## Layer comparison

Keep order paid separate from payment pending or reversed. The POS should use an authoritative result instead of a customer's screenshot.

## Integrated payment test

Test the exact software, device, payment provider and merchant account. A generic integration badge does not prove the configuration works in Bangladesh for the intended flow.

- Success maps once to the right order
- Decline keeps order unpaid
- Timeout shows unresolved state
- Retry cannot duplicate charge
- Reversal or refund references original payment
- Terminal and settlement reports reconcile
- Manual fallback is labelled

## Procurement and support ownership

Record who supplies, configures, updates and supports each layer. A printer problem, POS app error, terminal decline and bank settlement difference may need different teams. Give staff one triage card with safe checks and escalation references.

Normalize recurring software, hardware, connectivity, payment and support costs. Preserve data export and contract exit obligations separately.

For incident triage, capture order ID, payment reference, terminal ID, time, amount, displayed state and safe error code without card secrets or customer credentials. Determine whether the order, payment request, provider result, receipt and statement agree. Do not retry or refund blindly while a payment remains unresolved.

Review user and merchant-account access across all layers during offboarding. Deactivating a restaurant POS login does not automatically revoke terminal administration or provider portal access. Test recovery channels and keep business-controlled ownership.

POS software runs the restaurant record, the billing terminal is where staff use it and the payment terminal authorises regulated payments. Treat them as connected components, not interchangeable products.
