# Restaurant Equipment Maintenance Log Template: From Defect to Safe Return

An asset-level maintenance record that links each defect and service visit to downtime, cost, verification and authorised return to use.

**Last verified: 2026-08-31**

A restaurant equipment maintenance log should answer what the asset is, where it is, what failed, who isolated it, what work was done, which parts and costs were involved, who verified function and when it returned to service. A paid invoice alone cannot answer all of those questions.

Separate cleaning, operator inspection, preventive service, calibration or verification, repair and major replacement. Each has a different owner and evidence.

## Asset master fields

Tag the physical asset with the same ID used in service reports and accounts. Do not use oven 1 if two branches can both have an oven 1.

Keep manuals and approved technical settings linked but access-controlled where they expose network or security details.

| Group | Fields |
| --- | --- |
| Identity | Asset ID, category, make/model and serial |
| Location | Branch, zone and utility connection |
| Commercial | Supplier, purchase date, cost, warranty and invoice |
| Technical | Capacity, manual, approved settings and parts |
| Service | Provider, plan, last/next due and competency evidence |
| Accounting | Asset/expense treatment and useful-life review owner |
| Continuity | Criticality, fallback and spare/alternate |

## Maintenance event log

Write symptoms before diagnosis. A staff member can record not cooling; a competent technician determines why.

| Field | Entry |
| --- | --- |
| Event | Inspection, preventive service, calibration, defect or repair |
| Time | Detected, isolated, technician start/end and return |
| Symptom | Observed fact and error code |
| Risk | Food, fire, electrical, gas, data or service impact |
| Work | Test, cleaning, adjustment, part and repair |
| Evidence | Work order, photo, reading and provider |
| Verification | Expected/actual result and approver |
| Cost | Labour, parts, transport and downtime note |

## Stop-use and isolation

Define who may stop equipment and how to tag, disconnect or restrict it safely. Protect food, orders and people first. Record affected stock or service and the fallback activated.

Do not return an item to use because the warning stopped temporarily. Follow competent repair and verification requirements.

## Preventive schedule

Build frequency from manufacturer instructions, warranty, usage, environment, breakdown history, food-safety risk and current legal or authority requirements. Do not apply a universal monthly schedule to every asset.

Include refrigeration, cooking, extraction, dishwashing, water, weighing/measuring, fire/safety systems, POS/network, printers and backup power under the correct competent owners.

## Food-equipment boundary

Food-contact and temperature-control equipment need attention to cleanability, damage, approved function and contamination risk. The FDA Food Code is an international model that addresses equipment maintenance and food-safety controls; local requirements control in Bangladesh.

If a surface, seal or component cannot be safely cleaned or maintained, remove the equipment from use and obtain competent direction.

## Work-order approval and parts

A low invoice is not value if the fault returns. Track repeat failure after service and provider response.

| Decision | Control |
| --- | --- |
| Call-out | Approved provider and scope |
| Estimate | Labour, parts, tax, transport and downtime |
| Part | Correct specification and traceable source |
| Change | Approval for extra work |
| Completion | Technician report and removed-part handling |
| Warranty | Claim/reference and excluded cost |
| Payment | Match invoice to work order and verification |

## Return-to-service test

Use a written expected result: starts safely, reaches approved function, controls and guards work, no leak or fault, network/print route works where relevant, and cleaning/reassembly is complete. Record who performed and witnessed the test.

For safety-critical or regulated systems, only the competent person or authority identified by the plan can authorise return.

## Maintenance cost and accounting

Track cash cost and downtime separately. Routine repair, replacement of a major component and acquisition of a new asset may have different accounting treatment.

IAS 16 establishes principles for property, plant and equipment recognition, carrying amount and depreciation. The accountant should classify each material cost; the maintenance log supplies facts, not the accounting conclusion.

## Monthly reliability review

- Overdue services
- Open stop-use assets
- Repeat failures
- Downtime by critical asset
- Repair cost and warranty recovery
- Missing verification
- Spare/fallback readiness
- Replace-versus-repair cases for review

## How we calculated and verified this

The FDA Food Code is cited as an international food-equipment safety model, not Bangladesh law. IAS 16 is cited only for the accounting distinction around property, plant and equipment; it does not set maintenance intervals.

Every inspection, service interval, repair and return-to-use decision must follow manufacturer instructions, competent technicians, the premises risk plan and current Bangladesh requirements.

A useful maintenance log closes the loop from symptom to safe function. Give every asset a stable ID, every defect an isolation status and every return a test result.

Use competent technicians for technical decisions and an accountant for asset versus expense classification.

## FAQ

### What should a restaurant maintenance log include?

Include asset ID, location, event, symptom, risk, isolation, work, parts, technician, cost, test result and return-to-service approval.

### How often should equipment be serviced?

Use manufacturer, warranty, usage, risk, history and current authority requirements; there is no universal interval.

### Who can return equipment to service?

Use the competent and authorised role defined for that asset and risk.

### Is a repair always an expense?

Not necessarily. The accountant should apply the relevant accounting policy and IAS 16 principles to material work.

### What is a repeat failure?

The same or related defect returning within the restaurant's review window after service, requiring provider and root-cause review.
