# Restaurant Salary Advance Management: Policy and Workflow

A respectful, auditable process for employee advances that protects both staff and restaurant cash flow.

**Last verified: 2026-08-28**

Salary advances can support employees during a genuine need, but informal cash payments create confusion. A written policy and tracked workflow keep the arrangement fair.

## Define eligibility and limits

Set who can request an advance, maximum amount, frequency and repayment month. Apply the rule consistently while allowing documented exceptions.

## Use clear statuses

A request should move through pending, approved, rejected or deducted. Record request date, reason, payment method and approval date.

- Amount must be greater than zero
- Approved payment creates one ledger entry
- Rejected requests do not affect cash

## Settle through payroll

Show the deduction on the relevant salary record so the employee understands the net payment and the advance is not collected twice.

## Define salary advance, loan and early salary separately

The policy should define what the restaurant means by an advance. It may be an early payment against salary already or soon to be earned, while a longer employee loan or emergency grant can follow different approval, accounting and legal treatment. Do not use one label for every staff cash request.

State the purpose, eligible employees, decision authority, evidence, disbursement method, recovery rule, query route and treatment at leave or exit. The restaurant should obtain current payroll, accounting or legal advice for its actual arrangement rather than copying a fixed limit or deduction rule from an undated template.

## Advance request record

Collect only information needed for the decision. An employee should not have to disclose sensitive personal details to the whole management team. Use a category and restricted note where explanation is required, and limit access to authorised approvers and payroll users.

Give the employee a copy or clear confirmation of the approved amount, disbursement, recovery schedule and correction route before payment. A verbal promise creates disputes when payroll closes.

| Field | Why it matters |
| --- | --- |
| Employee and branch | Correct person and responsible manager |
| Request date | Decision and payroll cut-off |
| Requested amount | Employee's stated need |
| Reason category | Consistent review without unnecessary detail |
| Outstanding balance | Prevents hidden overlapping recovery |
| Proposed recovery | Employee can understand timing |
| Approver decision | Amount, reason and authority |
| Disbursement proof | Cash/bank/mobile payment evidence |
| Payroll links | Each recovery and remaining balance |

## Use consistent eligibility and approval

Publish the factors the restaurant will consider, such as employment status, prior outstanding advance, payroll timing and authorised budget. Avoid favouritism based on which manager is asked. An urgent request can have an expedited route, but it should still identify the decision maker and evidence.

Do not invent a universal maximum percentage or frequency. If the restaurant sets an internal limit, label it as its policy, review affordability and applicable rules, and define who can approve an exception. A declined request should record a neutral reason without exposing private information.

## Separate request, approval and payment

Where staffing allows, the requester records the application, an authorised manager or HR owner approves and finance disburses against the approval. The person handing over cash should not create an unapproved balance later to make the drawer agree. Small restaurants can use owner confirmation and signed receipt as compensating control.

Lock the approved amount and recovery instruction once paid. Any cancellation, partial payment or change creates a new referenced decision; it does not overwrite the original request.

## Maintain an employee advance ledger

Use a movement ledger rather than one editable balance. The closing balance should equal opening balance plus advances and authorised increases minus recoveries and repayments. A correction needs its own entry so the history remains explainable.

Reconcile the ledger with disbursement accounts and payroll every period. Investigate a negative balance, duplicate recovery or payment with no approval before closing.

| Ledger entry | Evidence | Balance effect |
| --- | --- | --- |
| Opening balance | Prior approved ledger | Starting amount |
| New advance | Approval and payment proof | Increase |
| Payroll recovery | Approved payroll line | Decrease |
| Direct repayment | Official receipt | Decrease |
| Correction | Authorised reason and reference | Increase/decrease |
| Closing balance | Reconciled movements | Amount carried forward |

## Show recovery clearly in payroll

The payroll summary should show the advance recovery separately from basic salary and other deductions, with the relevant period or reference where practical. Update the ledger only from the approved payroll run, not when a draft is prepared. If payroll is cancelled or rerun, reverse or relink the movement correctly.

Give the employee a route to dispute a duplicate, wrong amount or recovery that does not match the confirmation. Do not hide the issue by changing attendance or salary components. Resolve it through the advance and payroll records.

## Cash, bank and mobile-payment controls

Never ask for a password, PIN or one-time code to make an advance payment. If the employee changes a payment destination, verify the change through the restaurant's controlled employee-record process.

- Pay only against an approved request
- Verify the employee and destination account
- Use the restaurant's authorised payment route
- Record transaction reference, date and amount
- Obtain a receipt or digital acknowledgement
- Keep cash-drawer advance separate from sales refunds
- Reconcile the payment account and ledger
- Restrict edit and export access

## Leave, transfer and exit cases

A branch transfer should preserve the same employee ledger while updating the responsible manager and cost attribution from an effective date. Approved leave does not erase the balance; the recovery plan may need authorised review if payroll changes.

At exit, calculate the outstanding balance from the reconciled ledger and follow the signed terms, current policy and applicable law for any final-pay treatment. Do not make an informal cash deduction or withhold documents because a manager remembers a different amount. Give the employee a closing statement and correction route.

## Monthly advance review

The review should improve process and identify errors, not expose private reasons to unnecessary staff. Report aggregate operational issues separately from restricted employee cases.

- Requests awaiting decision
- Approved but unpaid items
- Payments without payroll link
- Duplicate or skipped recoveries
- Negative and unusually old balances
- Employees with multiple open arrangements
- Exited staff with unresolved balance
- Ledger total vs payment and payroll accounts

Treat advances as a formal employee benefit, not an undocumented cash favour. Clear records preserve trust.

## FAQ

### Should a rejected advance appear in the payment ledger?

No. Only an approved and paid advance should create an outgoing payment entry.

### How is an advance recovered?

Use the agreed payroll month and show the deduction clearly on that salary record.

### How much salary advance should a restaurant allow?

There is no universal amount in this guide. The restaurant should set and review a documented internal policy using current legal, payroll, affordability and employee-context advice.

### Should an advance be deducted automatically from payroll?

Only an approved recovery instruction should flow into the reviewed payroll, as a separate visible line linked to the employee advance ledger.

### Can an employee have more than one advance?

The policy should state whether this is allowed. Any decision must show existing balance, new approval, recovery plan and total outstanding amount.

### What happens to an advance when an employee leaves?

Reconcile the ledger and follow the signed terms, current policy and applicable law for final treatment, with a closing statement and correction route.

### Should salary advances be paid from the POS cash drawer?

Keep advances separate from sales and refunds. If authorised cash is used, require prior approval, employee acknowledgement and a reconciled accounting entry rather than an unexplained drawer difference.
