# Restaurant VAT Sales Reconciliation Template: POS to Return Bridge

A daily and monthly bridge that explains how gross restaurant orders become recorded sales and the figures used in VAT reporting.

**Last verified: 2026-08-31**

A restaurant VAT sales reconciliation template connects operational orders to the sales record used for statutory reporting. Start with every sales channel, then show cancellations, voids, discounts, refunds, timing items and other approved differences. Finish with applicable invoice totals, accounting sales and the figure mapped to the filed return.

The goal is explanation, not identical totals at every intermediate step. A marketplace order may be accepted on one date, delivered on another and settled later. Cash collection is not always the same event as sale recognition or VAT treatment. Document the restaurant's approved rule for each bridge line.

## Core reconciliation layout

Keep values both gross and componentised. Net-only figures hide whether a difference came from quantity, discount, service charge, VAT, refund or timing.

Use stable order and invoice IDs so samples can be traced back to the guest transaction without exposing unnecessary personal information.

| Line | Source | Control |
| --- | --- | --- |
| Gross accepted orders | POS and channel exports | Count by date and branch |
| Less cancellations | Cancellation log | Reason and acceptance stage |
| Less approved voids/refunds | Authorisation trail | Original order and approver |
| Discount/charge bridge | Pricing engine | Type and policy |
| Recorded sales | Day-close/ledger | Entity and period |
| Applicable invoice total | Invoice series | Sequence completeness |
| Return mapping | Tax workpaper | Line, treatment and adviser sign-off |

## Capture every sales channel

Create separate columns for dine-in, takeaway, direct delivery, own storefront, each marketplace, catering and authorised manual billing. Map each source to a responsible owner and extraction time.

Do not use marketplace payout as gross sales. A payout may combine sales, commission, promotional adjustments, refunds and timing from another period.

## Control invoice sequence

Summarise first number, last number, issued count, cancelled numbers and gaps by place of supply or approved series. Link every cancellation to the preserved document and reason.

NBR rules contain requirements for invoice information and serial treatment. Have the VAT adviser confirm the series design and how branches or places of supply are handled.

## Separate commercial adjustments

The template should expose each category without deciding its statutory treatment. Put uncertain items into an adviser-review column before filing.

| Item | Operational evidence | Review question |
| --- | --- | --- |
| Discount | Rule, coupon or approval | Before/after tax treatment? |
| Service charge | Settings and bill | Included in approved base? |
| Refund | Original payment and refund reference | Which period and document? |
| Complimentary | Reason and approver | How recorded? |
| Marketplace promo | Campaign and settlement | Who funds it? |
| Rounding | System rule | Consistent and material? |

## Reconcile payment without confusing it with sales

Tie cash, bKash, Nagad, card records, COD receivables and marketplace settlements to the order ledger. Payment differences may identify cashier or settlement issues even when the sales bridge is correct.

Use clearing accounts for unsettled channels and age them. Never change the sales figure merely to force a payment total to match.

## Handle timing differences

Write the cut-off rule for orders opened before midnight, delivered after midnight, marketplace cancellations, advance deposits and refunds. Apply it consistently and list exceptions.

Keep an opening reconciling balance, current-period additions, clearings and closing balance for each timing account. Old unexplained balances need escalation.

## Reason-code every difference

A difference without a code, owner and expected resolution is not reconciled. Report repeated codes by branch or user to fix the process.

| Code | Meaning | Evidence |
| --- | --- | --- |
| CNL | Cancelled order | Stage and reason |
| VOD | Approved void | Approval and original |
| RFD | Refund | Payment reference |
| TIM | Cut-off timing | Expected clearing date |
| SEQ | Invoice sequence issue | Investigation |
| SRC | Missing channel/source | Recovery action |
| TAX | Treatment review | Adviser note |

## Monthly sign-off

- Freeze source exports
- Tie daily bridges to month total
- Review sequence gaps
- Clear or age timing balances
- Approve material adjustments
- Map to the filed return
- Save reviewer and evidence links

## Template columns to copy

Use date, branch, channel, order count, gross order value, cancellations, voids, discounts, charges, refunds, recorded sales, invoice total, return-mapped value, difference code, explanation, owner, due date and evidence link.

## How we calculated and verified this

The bridge format is an operator template. NBR sources support keeping sales records, issuing the applicable invoice and reconciling tax-period reporting, but do not prescribe this spreadsheet layout.

Tax base, rate, adjustment and timing decisions must come from current rules and the restaurant's adviser. The example uses no market estimate.

Reconcile daily while branch staff still remember exceptions, then lock the monthly bridge with the filed return. Keep commercial, payment and tax differences visible instead of netting them together.

Rosuii sales, payment and day-close reports provide source data; the VAT mapping remains a professional decision.

## FAQ

### What is a restaurant VAT sales reconciliation?

It is a bridge from all operational sales channels through cancellations and adjustments to recorded sales, invoice series and the tax-return workpaper.

### Should Foodpanda payouts equal sales?

Usually not directly. Payouts can contain commission, promotions, refunds and timing, so reconcile the order ledger and settlement separately.

### Why reconcile daily?

Daily review makes missing channels, invoice gaps and cashier explanations easier to resolve before month end.

### Can the template calculate the VAT rate?

It can carry an adviser-approved mapping, but it should not invent the applicable rate or base.

### What makes a difference resolved?

A reason code, explanation, evidence, responsible owner and approved treatment or clearing entry.
