Restaurant Salary Advance Management: Policy and Workflow

Salary advances can support employees during a genuine need, but informal cash payments create confusion. A written policy and tracked workflow keep the arrangement fair.

Define eligibility and limits

Set who can request an advance, maximum amount, frequency and repayment month. Apply the rule consistently while allowing documented exceptions.

Use clear statuses

A request should move through pending, approved, rejected or deducted. Record request date, reason, payment method and approval date.

  • Amount must be greater than zero
  • Approved payment creates one ledger entry
  • Rejected requests do not affect cash

Settle through payroll

Show the deduction on the relevant salary record so the employee understands the net payment and the advance is not collected twice.

Treat advances as a formal employee benefit, not an undocumented cash favour. Clear records preserve trust.
