Restaurant Kitchen Prep List Template | Rosuii
Use a blank kitchen prep list to turn service targets and usable stock into assigned tasks. Follow the steps for quantity checks, shortages and shift handover.
A restaurant kitchen prep list template records prep targets, usable stock, quantities needed, task owners and ready-by times. As of 1 November 2026, Rosuii takes dine-in, takeaway and staff-entered delivery orders in one POS, the point-of-sale system where orders are recorded.
Key takeaways
- Write a separate prep row for each item and state its unit.
- Count the usable prepared stock before you decide how much more to make.
- Assign a named owner and a ready-by time to each task.
- Record shortfalls and work not completed during the shift handover.
- Keep the prep sheet in with the order and stock records at all times during service.
What should a restaurant kitchen prep list include?
A restaurant kitchen prep list should contain the service, the station, the prep item, the quantity required, the person responsible and the deadline. There should be a check box for the supervisor to tick when the item is actually ready.
Copy the blank template into your working document or spreadsheet and then add a row for each menu item. If it makes sense for your kitchen to have a separate sheet for each station then go ahead and do that (the guide to restaurant kitchen stations will help you with that).

The service target is the amount of a prepared item that you want to have on hand for the named service. The target, usable stock and prep needed should all be in the same unit. Define any container measure in your kitchen instructions.
How do you calculate how much to prepare?
Work out the prep quantity by taking the service target in the same unit and subtracting the usable prepared stock from it. If the usable stock is equal to or greater than the target then write "no prep required" and go on to review the target before assigning any more work.
Prep needed = service target minus usable prepared stock.
Set the target via your menu, using the expected service demand and the records from similar shifts. Adjust it for any known bookings, any menu changes and any ingredient availability and then write the agreed amount on the sheet.
Count the prepared items in the state the row describes. Raw ingredients available for the making of a sauce are not prepared sauce. You'll need to check the raw ingredients separately before you assign the task. Use your recipe's yield and portion measure when converting between ingredients and finished prep.
Use the restaurant stock count sheet template to record the physical count behind the prep decision. For labelling, storage and the various decisions as to what food is usable, you must follow the kitchen's approved food handling procedures. The prep sheet is a work allocation sheet.
How should the team fill out the prep list before service?
The shift lead should agree the service targets, check the stock with the station team and then allocate the prep. The individual carrying out each task should check the quantity and the deadline before starting.
- Confirm the service. Put the date, shift and station at the top. Check which menu items are scheduled for that service.
- Name the prep tasks. Use the kitchen's recipe/component names. For a shared sauce, the prep goes under the station it's allocated to and the receiving stations are noted in the handover note.
- Check the count. Record the usable prepared stock and its unit. Resolve any discrepancy between the sheet and the actual count before working out how much prep you need.
- Assign the work. Write the cook's name and a ready-by time. Put the tasks which other prep depends on earlier in the work order.
- Review obstacles. Note any missing ingredients or equipment that's unavailable and get the supervisor to agree on the next step.
- Verify completion. Check the actual quantity against the task, enter the checker's name and time. Leave any work that's not completed visible in the handover.
Use the guide to restaurant kitchen roles in Bangladesh to agree who sets targets and who checks the finished work. Recipe methods and handling instructions belong in your restaurant standard operating procedure template; the prep sheet only assigns that work for the shift.
How should the prep list connect with orders and stock?
The prep list should link the agreed prep quantities to the orders and the stock records that the team go through. There should be a named individual responsible for updating the sheet should demand or ingredient availability change.
Service planning with Rosuii POS
Rosuii POS covers dine-in, takeaway and staff-entered delivery. When you're planning your prep you need to look at the workload across those service types and spot the common elements on the sheet.
Use Rosuii's restaurant POS to go through the order flow that runs alongside your prep.
Ingredient checks with Rosuii inventory
Rosuii inventory supports recipes, purchasing, suppliers and wastage from Starter. Check the inventory and recipe costing page for deduction timing, units and outlet stock before relating the inventory records to the prep sheet.
If the prep you've been assigned can't be done with the ingredients on hand, write the shortage against that item and have the supervisor go and amend the task or target. The original issue must remain visible for the next shift.
Order follow-through with Rosuii KDS
A kitchen display system (KDS) puts orders on connected kitchen screens. Rosuii KDS gets orders from the POS and comes with Starter and above.
Check the kitchen display system page for the station filters, order status and internet requirements. As you're going through the incoming orders during service have the shift lead check the remaining prepared stock against the prep sheet and assign any further work.
What should the supervisor check before service and at handover?
The supervisor should check the completed quantities, the work still outstanding and any shortages before service. At handover the incoming lead should have the work remaining with a named owner and a revised deadline.
Use this checklist during your restaurant pre-shift briefing:
- Does every active row have a unit, quantity, owner and ready-by time?
- Has the completed prep been checked against the written quantity?
- Are shared components assigned to a station with the receiving stations being informed?
- Are shortages and agreed menu changes visible to the service team?
- Does the handover identify any outstanding work and who will be responsible for following that up?
When an item falls short during service, record the change and let the person who owns the task know. At shift close, record any unused prep and the reason for any altered target so the next lead can look at the plan.
What is the bottom line for using a kitchen prep list?
A kitchen prep list needs an agreed quantity, a named owner and a completion check for each task. Copy the template, populate it from the physical count and the service plan and then carry the uncompleted work into handover with a clear next step.
