Restaurant Month-End Closing Checklist: Sales, Stock, Payroll and VAT

Last verified: 2026-08-30

A restaurant month-end closing checklist converts daily operational records into one approved period. The sequence matters. Sales and payment channels should be reconciled before revenue is final; purchases and stock should be cut off before food cost is reviewed; attendance and approved adjustments should be complete before payroll; and VAT evidence should agree with the records used for the return.

Closing is not pressing a lock button. It is resolving or documenting exceptions, assigning late evidence and preserving the exact version management reviewed. A fast close with unexplained plugs only moves the work into next month.

Set a close calendar and owners

Use due dates relative to month end rather than vague soon. Name a backup for each owner and define what evidence marks completion. Keep one exception list across the close so a missing invoice is not chased independently by three people.

Complete every branch day close

Do not wait until month end to explain daily cash and payment differences. The monthly close should aggregate resolved days and a small, explicit list of outstanding timing items.

  • Order count and status complete
  • Gross sales, discounts, voids, refunds, service charge, VAT and net sales reviewed
  • Cash count and variance approved
  • bKash, Nagad, card, COD and other payment totals reconciled
  • Marketplace orders and settlements bridged
  • Open drafts, unpaid bills and offline orders resolved
  • Z-report/day-close owner and timestamp saved

Reconcile sales to cash and settlement channels

Separate a timing difference from an error. A sale on the last day may settle next month; preserve the receivable or clearing balance rather than moving the sale date. Investigate duplicate, missing and manually changed tenders.

ChannelMonth-end bridge
CashPOS cash sales to deposits, petty/paid-out controls and counted variance
Mobile financial servicePOS tender to gateway statement, fees, refunds and bank receipt
CardTerminal/batch to processor statement, fees, chargebacks and bank
MarketplaceOrder sales to commission/adjustment statement, payout and open balance
COD deliveryDelivered orders to rider/courier collections, deposits and variance
Credit/house accountApproved receivable, customer confirmation and ageing

Close purchases, receiving and suppliers

Match purchase order where used, goods receipt, supplier invoice and payment. Record goods received before period end even when the invoice arrives later according to the accountant's cut-off process. Keep disputed quantities or prices visible and assign the supplier follow-up.

Reconcile supplier statements to the ledger, deposits and credits. Review duplicate invoice numbers, old advances, unallocated payments, returns not credited and invoices posted to the wrong branch or category.

Count and value inventory

Freeze or control movement during the count, use item and location sheets, record unit, batch where relevant, counted quantity, recount, condition and approver. Reconcile purchases, transfers, production, sales use and wastage to the closing quantity. Do not overwrite variance with an unexplained adjustment.

IAS 2 provides the accounting context for inventory cost, recognition as expense and write-down. The restaurant's accountant must approve the cost formula, net realisable value review, production treatment and entries. Operations supplies accurate quantities, condition and evidence.

Finish expenses, assets and accrual evidence

  • All approved branch expenses posted with receipts or documented exceptions
  • Rent, utilities, repairs, subscriptions and professional costs reviewed
  • Prepayments, deposits and advances separated from current expense where applicable
  • New equipment linked to asset review rather than buried in supplies
  • Recurring missing invoices estimated only through accountant-approved process
  • Owner drawings and personal items removed from restaurant expense
  • Expense category and branch comparisons reviewed for unusual movement

Close attendance and payroll

Reconcile roster, actual check-in/out, approved leave, overtime authorisation, advances, additions, deductions and employee status changes. Manual corrections need employee, reason, evidence and approver. Lock the attendance period before final payroll calculation.

Compare payroll register with bank/cash payment evidence and the ledger. Keep guaranteed pay, overtime, service charge, bonus, advance recovery and other components visible according to the reviewed process. Do not use a month-end deadline to bypass an employee dispute or legal requirement.

Prepare VAT and compliance pack

Tie the sales and purchase records used for VAT to the final ledgers, invoice sequences, adjustments and supporting documents. Save preparer/reviewer evidence, payment and submission acknowledgement. NBR's public guidance also tells taxpayers to verify return and payment posting in VAT Online.

The accountant or VAT adviser decides current obligation, rate, forms, credit and treatment. Any return difference from the management accounts should have a documented bridge rather than an unexplained plug.

Review the monthly management pack

IAS 1 provides financial-statement presentation context, but this internal pack is not automatically IFRS-compliant. The accountant determines formal statements and disclosures. Management should focus on reconciled evidence, comparable variance and named actions.

ReportOwner question
Sales and ordersWhich branch, channel, daypart and item changed, and why?
Gross profit/food costIs movement price, mix, yield, waste, count or posting?
LabourWhat changed in roster, overtime, vacancy or productivity?

Lock and control reopening

After sign-off, lock the period or restrict posting. A reopening request should state document, amount, accounts, branch, reason, tax impact, requester and approver. Preserve the first report and issue a revised version; never make the reviewed pack silently disappear.

Track days to close, late entries, reopen count and recurring exception owners. The goal is not the shortest close at any cost. It is a reliable close whose remaining uncertainty is disclosed.

How we calculated and verified this

This is a management close checklist, not audited financial statements or a claim of IFRS compliance. IAS 2 is cited for inventory-cost and expense-recognition context; IAS 1 is cited for financial-statement presentation context. The accountant decides the restaurant's accounting framework and entries.

NBR guidance is cited for purchase/sales records, VAT invoices, payment, returns and online confirmation. The checklist does not determine a VAT rate, filing obligation or tax treatment.

Restaurant month end works when each operating system hands clean evidence to the next: day close to sales, receiving to suppliers, count to inventory, attendance to payroll and reconciled ledgers to tax and management reporting.

Set the calendar, resolve daily differences early, preserve a single exception list and lock only after review. Let the accountant control accounting and tax decisions while branch teams own accurate operational evidence.
