Restaurant POS Cashier Handover Sheet: Shift Change Without Blind Spots
A joint outgoing-and-incoming cashier record that transfers money, open transactions, devices and unresolved exceptions at one clear time.

Last verified: 2026-08-31
A restaurant POS cashier handover sheet freezes responsibility at shift change. The outgoing and incoming cashiers count the drawer together, compare POS payment totals, list open orders and refunds, transfer keys and devices, and sign one effective handover time.
Handover is not day close. The restaurant may continue trading, so unresolved items must move to a named owner without disappearing between shifts.
Copyable handover summary
Use the POS report cut at the exact handover time. A report generated later can include transactions belonging to the next cashier.
Do not share one user account. Individual login history is part of the responsibility trail.
| Group | Fields |
|---|---|
| Shift | Branch, terminal, outgoing/incoming staff, effective time |
| Float | Opening float, approved additions/removals |
| Cash | Denomination count, expected, actual, variance |
| Digital | bKash, Nagad, card/other provider totals and unsettled items |
| Orders | Open, draft, unpaid, delivery/COD and table transfers |
| Exceptions | Void, refund, discount, offline queue, duplicate or dispute |
| Assets | Keys, device, paper, seals, deposit bag |
| Sign-off | Both cashiers and manager where required |
Count cash together
Stop drawer access during the count or use a controlled second drawer. Count by denomination, record expected cash and explain approved paid-outs, cash refunds or float movements.
Both cashiers witness the final sealed amount. If counting cannot be joint, record the reason and require an independent manager check.
Bridge expected cash
Do not change a tender type merely to clear a variance. Log the difference, preserve evidence and investigate under policy.
| Line | Source |
|---|---|
| Opening float | Prior handover |
| Plus cash sales | POS tender report |
| Plus approved cash additions | Float log |
| Less cash refunds | Refund approval |
| Less paid-outs/removals | Voucher/deposit log |
| Expected drawer | Calculated total |
| Actual drawer | Denomination count |
| Variance | Actual minus expected |
Transfer digital-payment exceptions
List payment initiated but not confirmed, provider success not reflected in POS, duplicate attempts, refunds pending, COD receivables and marketplace settlements requiring follow-up. Include order, provider reference, amount, time and next step.
Online-payment confirmation requires connectivity. Do not treat a customer screenshot alone as final settlement evidence when the approved provider check is unavailable.
List every open order
Include table, takeaway, delivery, draft, sent-to-kitchen, billed-unpaid and held orders. State current status, value, responsible waiter or channel and what the incoming cashier must do.
An open order should retain the original creator and change trail; handover transfers operational ownership, not authorship.
Review high-risk actions
Attach shift voids, discounts, refunds, manual prices, reopened bills and cancellations with approver and reason. Sample the original order and payment evidence for unusual items.
NBR guidance requires applicable sales invoices and sales records. Cashier handover supports the internal trail but does not replace statutory records.

Transfer physical and digital assets
Passwords and personal authentication factors are not handover assets. Each user signs in with their own approved credentials.
| Asset | Check |
|---|---|
| Drawer/key | Count and key ID |
| Deposit bag | Seal number and amount |
| POS device | Power, login handoff and damage |
| Payment device | Device ID, paper and settlement status |
| Printer | Paper and known fault |
| Offline queue | Pending order count and sync owner |
| Documents | Manual receipt/KOT sequence |
Variance escalation
Set thresholds and escalation roles in policy. Record amount, first checks, people present, evidence preserved and interim custody. Do not force either cashier to personally settle a difference outside lawful policy.
Investigate tender selection, duplicate posting, refund, paid-out, timing, manual order and count error. Treat the variance as an evidence question, not an automatic accusation.

How we calculated and verified this
This sheet is a restaurant internal-control template. NBR is cited only for the public responsibility to issue applicable sales invoices and keep sales records.
Cash limits, approvals, deposit procedures, investigation and payment-provider reconciliation must be set by the restaurant and its accountant.
A cashier handover should leave no unowned cash, payment or order. Freeze the report, count jointly, list exceptions and make the transfer time explicit.
Rosuii POS and reports provide the operational data; restaurant policy and accountant-approved controls govern custody and reconciliation.
