Restaurant VAT Record-Keeping Checklist Bangladesh: Daily to Monthly Close

Last verified: 2026-08-30

A restaurant VAT record-keeping checklist in Bangladesh should create a traceable path from each sale and purchase to the periodic return. The useful question is not simply whether a receipt exists. It is whether the transaction date, branch, invoice number, taxable value, VAT treatment, payment evidence and later adjustment agree across the POS, accounts and VAT records.

NBR's public guidance tells taxpayers to ask for and issue Mushak-6.3 invoices, keep purchase and sales records, calculate and pay net VAT, submit returns and check the VAT Online posting. Its FAQ also says VAT documents should be maintained for five years. The workflow below turns those responsibilities into daily, weekly and month-end control points; it is not a substitute for advice on the restaurant's exact liability.

Keep one VAT control index

Use the index as a map, not as a replacement for source documents. Give every batch a period and branch code, and link scanned evidence to the entry. When a source document is corrected, keep the old version and the reason instead of silently replacing it.

Restrict access to customer, supplier and tax identifiers. The person preparing a return should be able to retrieve the evidence without gaining unnecessary permission to edit sales or approve purchases.

Capture sales evidence every shift

Close each shift with order count, gross sales, discounts, voids, refunds, service charge, VAT, net sales and payment-method totals by branch. Keep the invoice sequence and explain missing or cancelled numbers. A manual sale, offline order or corrected bill needs the same traceability as an ordinary POS order.

Do not post one unexplained monthly sales total. Preserve enough detail to trace the return figure back to a day, outlet and invoice. Separately identify transactions whose treatment needs accountant review rather than forcing them into a guessed VAT category.

Check Mushak-6.3 and purchase documents

For purchases, record the document you actually received, the supplier identity, date, amount, goods or service, receiving evidence and payment reference. NBR's taxpayer guide says to ask for a VAT invoice during purchase. Whether the document supports a particular credit or treatment must be checked under the current rules and the restaurant's status.

Match stock purchases to receiving and inventory records. Match rent, utilities, repairs and services to contracts or approvals. Flag duplicate invoice numbers, supplier-name mismatches, dates outside the period, altered images and amounts that differ from the purchase order or bank payment.

Maintain an exception register

An exception register keeps unusual items visible until resolved. It should not become a place to park differences forever. Give each exception a named owner, due date, evidence link, resolution and reviewer.

Run a weekly purchase-to-sales sense check

Compare sales movement with purchases, stock use and wastage. This is not a VAT formula, but it can reveal missing receiving, unposted sales, incorrect dates or a duplicate batch before month-end. Review sharp changes by branch and category rather than accepting a consolidated total.

Also reconcile payment channels. Cash, bKash, Nagad, card and marketplace settlement timing can differ from the sale date. Preserve the bridge between sales recognised for the period and cash received later so payment timing does not change the underlying invoice trail.

Complete a month-end VAT close

Keep a frozen close pack for the filed version. If a later correction is required, document what changed, why, who approved it and how the revised filing was handled. Do not overwrite the evidence used for the original submission.

NBR's public responsibility list explicitly includes checking whether return and payment information is posted in VAT Online. Treat that confirmation as the final step rather than assuming a bank debit alone proves completion.

  • Lock the sales and purchase cut-off after approved late entries
  • Reconcile invoice sequences, voids, refunds and credit/debit adjustments
  • Review unresolved supplier documents and disputed treatment
  • Tie sales and purchase registers to the accounting ledger
  • Prepare the return from reviewed figures, not an editable side spreadsheet
  • Record preparer and independent reviewer sign-off
  • Save payment evidence and submission acknowledgement
  • Confirm return and payment information in VAT Online

Retain and back up the file

NBR's FAQ says VAT-related documents should be maintained for five years. Confirm the current requirement and how it applies to originals, electronic records and any other law with the restaurant's adviser. Keep the retention start and disposal authority explicit rather than deleting files when storage becomes inconvenient.

Use at least two controlled copies, test restoration and preserve readable formats. A backup that no one has restored is only a hope. Log access and deletion, and keep tax records separate from general marketing or staff folders.

Owner review dashboard

The owner does not need to reperform the return, but should see whether the control process finished cleanly. Repeated exceptions point to a process problem in cashiering, purchasing, receiving or master data, not merely extra work for the accountant.

How we calculated and verified this

This checklist converts NBR's public responsibilities and FAQ into an operator workflow. NBR says taxpayers should obtain and issue Mushak-6.3 invoices, keep purchase and sales records, calculate and pay VAT, submit returns and verify that return and payment information appears in the VAT Online system.

The article does not decide whether a particular restaurant must register, which rate applies, whether an input credit is allowable or which form a specific transaction requires. Those decisions depend on current law, SROs, registration status and facts. A VAT practitioner should approve the restaurant's final register design and retention policy.

Good restaurant VAT records form a chain: source invoice, system entry, register, ledger, return, payment and acknowledgement. The chain should survive a staff change and allow a reviewer to trace a number without reconstructing the month from messages and loose paper.

Start with the control index and daily sales close, then add purchase matching, an exception register and a frozen month-end pack. Have a qualified adviser confirm the exact forms, treatment and current legal requirements before filing.

Frequently asked questions

What VAT records should a restaurant keep in Bangladesh?
Keep sales and purchase evidence, applicable VAT invoices, adjustments, returns, payments, acknowledgements, registration details and a reconciliation trail. Confirm the exact forms with a VAT adviser.
How long should VAT documents be retained?
NBR's public VAT FAQ says VAT-related documents should be maintained for five years. Verify the current rule and any overlapping requirement before disposal.
Should POS sales match the VAT return exactly?
The return should reconcile to reviewed source records and the ledger through documented adjustments. Differences need an explanation, evidence and approval, not a forced plug.
Is a payment screenshot enough VAT evidence?
No. Preserve the underlying invoice or transaction, accounting entry, payment reference, return acknowledgement and VAT Online confirmation where applicable.
Can this checklist determine a restaurant's VAT rate?
No. Rates and obligations depend on current law, SROs, registration status and transaction facts. Use the checklist after a qualified adviser confirms treatment.
