Restaurant Mushak 6.3 Error and Correction Log: Preserve the Audit Trail

Last verified: 2026-08-31

When a restaurant finds an error in Mushak 6.3, the first control is preservation. Do not delete the original record, reuse its serial or quietly edit a stored PDF. Log what happened, stop any repeat process issue and obtain advice on the valid correction document and return treatment.

The NBR rules identify VAT-6.7 credit notes and VAT-6.8 debit notes in connection with invoice amendments, and say defective or incomplete VAT documents are not documentary evidence for credit or adjustment. That does not mean every restaurant mistake follows the same correction path. Facts, timing and current law matter.

Error log fields

Give the issue its own ID and link every later document to it. The log should show the facts before it shows the proposed fix.

Restrict correction approval to named roles. The employee who notices an error should be able to report it without being able to erase the underlying record.

Classify the error before acting

Useful categories include customer identity, item or quantity, taxable value, tax amount, date, place/branch, duplicate issue, missing issue and cancelled order. Add a free-text note for the actual circumstance.

Distinguish data-entry error from a genuine later commercial event such as a returned supply or price change. The documents and period treatment may differ.

Preserve the original and sequence

Keep the original issued representation, system event, order, bill, payment and delivery status. Mark its status in the control system without overwriting the source.

Never fill an invoice-number gap by reusing another number. Summarise gaps and corrections by series and branch for month-end review.

Route the case for professional decision

Ask for a decision that names the document, date, period, customer communication and ledger/return action. Avoid vague instructions such as fix in next month.

QuestionEvidence to attach
Was the invoice issued/delivered?Print, email or system event
Was the sale completed?Order, KOT and delivery/payment
Which value is wrong?Original and correct calculation
Has the period been filed?Return reference and date
Is the customer registered?Verified customer details if relevant
What correction is valid?Written adviser/authority basis

Credit and debit note boundary

The cited rules describe VAT-6.7 as a credit note and VAT-6.8 as a debit note connected with amendment of earlier invoices and decreasing or increasing adjustments. They also require prescribed information and copies.

Use those facts as a reason to seek precise advice, not as a do-it-yourself conclusion. The adviser should confirm whether the event meets the rule and how the restaurant must issue and preserve the document.

Connect correction to POS and accounts

Link the correction case to order status, bill, payment, refund or receivable, sales ledger and the tax workpaper. A corrected VAT trail with an unchanged customer balance may still leave accounts wrong, and the reverse is also true.

If the POS cannot represent the advised statutory document, preserve the external document reference and prevent staff from using a normal void as a substitute.

Review root causes

Report counts and values by cause, user, branch and time. Treat trends as process signals rather than hiding them after correction.

CausePreventive control
Wrong tax settingLocked configuration and approval test
Wrong branch/entityRole-based location context
Manual priceAuthorisation and exception report
Customer detailConfirm before issue
Duplicate print/issueStable serial and reprint label
Late cancellationOrder-to-invoice workflow rule

Month-end correction review

  • List all open cases
  • Confirm original preservation
  • Check adviser decision
  • Issue authorised documents
  • Update customer and accounts trail
  • Map to return workpaper
  • Approve closure and root-cause action

What not to do

  • Do not delete or overwrite the original
  • Do not reuse the serial
  • Do not backdate a document
  • Do not treat a POS void as automatic VAT correction
  • Do not change a filed period without advice
  • Do not close the case without return and ledger mapping

How we calculated and verified this

The NBR rules are used to establish that credit and debit notes exist for invoice amendments and that incomplete documents are not acceptable evidence. The article does not decide which form, adjustment or return treatment applies to a particular restaurant error.

The error register is an operational template. Obtain current professional guidance before cancelling, replacing or adjusting a statutory document.

The correction log protects the history while the restaurant obtains the right technical decision. It also turns repeated invoice errors into visible process improvements.

Use Rosuii approvals and reports for the order and payment trail; use qualified VAT advice for the statutory correction.
