Kitchen Order Ticket vs Customer Bill: What Each Restaurant Document Must Do

Last verified: 2026-08-30

The short answer to kitchen order ticket vs customer bill is purpose. A KOT is an internal instruction that tells a station what to prepare, in what quantity, with which modifiers and for which table, token or delivery order. A customer bill is a financial document that tells the guest what was charged, including the item prices and any approved discount, service charge, VAT and payment details.

One order may produce several kitchen tickets but should still reconcile to the final bill. Grilled items can route to one station, drinks to another and desserts later, while the cashier sees the complete order. The control challenge is preserving that connection when an item is added, cancelled, remade, transferred or served in stages.

Use one order ID across both documents

Assign the POS order a stable ID, then give each KOT its own sequence linked to that order. The bill should reference the same order. A reviewer can then move from a disputed bill line to the KOT that sent it, the station that prepared it and the amendment that changed it.

Do not use the table number as the only key. Tables turn over, guests move and delivery orders have no table. Use table, token or marketplace ID as a display field while the internal order ID remains unique.

Send only production-relevant detail to the kitchen

A useful KOT shows item, quantity, variation, add-ons, exclusions, allergy note, course, order type, table/token, waiter, send time and station. Keep payment method, customer balance and unrelated personal data out of the kitchen view unless an operational reason requires it.

Group or route items by station without losing the whole-order connection. If a combo creates grill, fryer and drinks work, each station should see its responsibility and the expo should see when the complete order is ready.

Keep the bill financially complete

The customer bill should show the sellable items and quantities, unit or line prices, authorised discounts, service charge, VAT treatment, total and payment status in the restaurant's approved format. A kitchen note such as no onion may be useful to the guest, but a station routing code is not a charge.

NBR's public taxpayer guidance says applicable businesses should issue the VAT invoice during sales and keep sales records. A KOT is not automatically that invoice merely because it came from the POS printer. The accountant must confirm which document and fields meet the current requirement.

Control additions, cancellations and remakes

Never rely on a waiter verbally shouting a change while the original ticket remains active. The station needs a visible replacement or cancellation, and the bill needs the matching authorised change. Keep who changed it, when and why.

ChangeKitchen actionBilling action
Item addedNew KOT segment with time and senderAdd approved bill line
Modifier changed before prepVisible amendment replacing old instructionUpdate charge only if modifier affects price
Item cancelledStop/cancel message with reason and acknowledgementRemove or void line with approval trail
RemakeNew remake ticket linked to original and causeDo not double-charge unless policy and customer order justify it
Quantity reducedAmendment showing old and new quantityCorrect billed quantity with audit trail

Reconcile KOT quantity to billed quantity

At day close, compare sent, cancelled and remade quantities with billed, voided and refunded quantities. The totals will not always match one-to-one because of legitimate remakes or complimentary items, but every difference should have a reason category and approval.

Look for billed items with no production instruction, produced items removed from the bill, repeated remakes, late cancellations and manual bills. These are investigation signals, not proof of misconduct.

Example document flow

The example demonstrates linkage, not mandatory numbering or timing. Each restaurant should configure stations and statuses for its service model while keeping immutable event times.

Implementation checklist

  • Unique order ID links every KOT, amendment and bill
  • Station routing is tested for items, variations, add-ons and combos
  • Kitchen sees clear new, changed and cancelled instructions
  • Price changes require the correct permission
  • Remakes record cause without automatically charging twice
  • Final bill reflects approved quantities and calculations
  • Applicable VAT invoice format is approved by the accountant
  • Day-close exceptions are reviewed by branch and staff role

How we calculated and verified this

This comparison separates an internal production instruction from a customer-facing financial document. NBR sources are cited only for the public requirement to issue the applicable VAT invoice and maintain purchase and sales records; NBR does not prescribe this restaurant KOT workflow.

Fields, numbering and status names are an operator template. The restaurant's accountant must approve bill, receipt and VAT-invoice treatment, while management defines KOT routing, amendment and cancellation controls.

A KOT and a customer bill should never be treated as interchangeable. The KOT controls production; the bill controls what the guest owes. Their shared order ID and amendment trail are what keep the kitchen, cashier and accounts aligned.

Design the KOT for speed and clarity, the bill for financial completeness, and the reconciliation for exceptions. Then have the restaurant's accountant confirm the current VAT-invoice treatment.

Frequently asked questions

Is a KOT the same as a customer bill?
No. A KOT is an internal preparation instruction. A customer bill states the items and financial amount charged to the guest.
Should a KOT show prices?
Usually the kitchen needs preparation detail rather than prices. Management can include operational values if needed, but the customer bill is the financial record.
Can one order have multiple KOTs?
Yes. Items may route to different stations or be sent in courses. Every ticket should remain linked to one stable order ID.
Is a printed KOT a VAT invoice?
Do not assume so. The applicable VAT document and required fields must be confirmed under current NBR rules and the restaurant's status.
How should a cancelled item be handled?
Send a visible cancellation to the station, record acknowledgement and reason, and match it with an authorised bill-line change and audit trail.
