A restaurant can run billing without a card terminal and accept cash or approved digital methods. It can also have a card terminal without a restaurant-management system, then write or calculate the bill elsewhere. Most structured operations need a clear link between the sale in the restaurant POS and the payment transaction in the acquiring terminal so daily reconciliation can identify missing, duplicate or wrongly classified tenders.

Ask the seller which meaning it uses before comparing prices. A listing that says Android POS machine may be only hardware, an all-in-one billing device, a payment terminal, or a bundle with subscription software. Request model, operating system, included peripherals, software licence, supported payment acquiring and ownership terms in writing.

A touch screen and receipt printer do not prove a product can accept cards. A card-reader slot does not prove it can manage recipes, inventory, KOT or tables. Evaluate functions and responsible providers separately.

What a restaurant POS terminal does

The restaurant POS creates the commercial order: menu item, quantity, modifiers, table or channel, discount, charges and total under the configured rules. It may send KOTs to a kitchen display or printer, update order status, record payment method and produce sales, cashier, item and branch reports. Inventory and payroll features depend on the actual software product.

The billing terminal can be a desktop, laptop, tablet, phone or dedicated Android device. The important question is not the shape; it is whether the software supports the restaurant's dine-in, takeaway, delivery, offline, printer, branch, user and reporting requirements.

What a card terminal does

A card terminal is part of merchant acquiring. Bangladesh Bank's payment-system material describes merchant acquiring through channels including physical POS, online payment gateway, QR and NFC. The acquiring institution or authorized participant onboards the merchant, provides or supports the acceptance channel and settles under the merchant agreement.

The terminal authorizes or declines a payment and produces a merchant transaction reference. It does not know whether the restaurant sold biryani, gave a discount or printed a KOT unless there is a separate supported integration. The restaurant must preserve the link between order and transaction.

How the two work together at checkout

Without integration, the cashier types the bill amount into the card terminal and then records the result in the restaurant POS. This is workable but creates wrong-amount, duplicate and false-success risk. Require the cashier to compare amount, wait for the merchant result and enter the transaction reference according to policy.

With integration, test supported device, acquirer, refund, reversal, timeout, partial approval and network-failure behavior. Integration reduces re-entry but does not remove daily settlement reconciliation.

Merchant onboarding and commercial questions

Do not publish or accept one universal card-machine fee or settlement time. It can vary by provider, merchant category, agreement, card type, channel and campaign. Obtain the current signed merchant schedule and keep it with the terminal ID and branch.

Onboarding should use official bank or authorized-provider channels. Verify contact details and never provide OTP, PIN or remote access to an unverified person offering a terminal.

Compare total cost over the intended period, not only the device sticker. A low-price Android terminal may require separate printer, software and support. A bank-provided terminal may have commercial or account conditions. Keep quotes dated and scoped to the exact branch and package.

Do not include a card-acquiring cost inside restaurant POS price unless the provider contractually bundles it. The two providers can be different and their invoices, support and liabilities remain separate.

Daily reconciliation

At close, compare restaurant POS card tender amount and count with each terminal or merchant record. Check wrong tender, amount mismatch, duplicate charge, approved card payment on an open order, cash order closed after card payment, reversal, refund and transaction near the business-date cut-off.

Later reconcile terminal activity to acquirer statement, fees, adjustments and bank settlement. Do not edit historical restaurant sales to force the net bank deposit to equal gross card tender. Use a settlement bridge that preserves gross activity and supported deductions.

Security and staff rules

Choose restaurant POS from operating needs and card terminal from acquiring and customer-payment needs. Then design the handoff. One device can sometimes host both functions, but confirm provider responsibilities, certification, supported integration and fallback before treating it as one system.

Pilot one branch and test sale, decline, reversal, refund, split payment, lost connectivity, receipt/KOT, day-end and settlement. Train cashier and manager on both records.
