POS Machine Full Form and Meaning: Point of Sale Explained

Last verified: 2026-08-28

POS machine full form is Point of Sale machine. Point of sale is the place and moment where a business records a sale and the customer pays. In modern use, a POS system combines hardware and software to process that transaction and manage related operations.

The word machine creates confusion. In Bangladesh, it can mean a restaurant billing terminal, an Android device with printer or a bank card terminal. Those products overlap at checkout but are not the same.

What a restaurant POS system does

A restaurant POS builds dine-in, takeaway or delivery orders; applies variations, add-ons, discounts, service charge and VAT; sends production details to KOT or KDS; records payment; and produces reports.

Hardware makes the workflow visible and printable. Software carries the business rules and records. A touchscreen without suitable software is only a computer; software can run on different screens.

How a sale moves through POS

The cashier selects items and the system calculates the total. The order goes to the kitchen, payment is recorded and a receipt is printed or sent digitally. Sales data then feeds day close and reports.

If the customer uses a bank card, a payment terminal may authorise the transaction separately. The POS software should record the result, but one device does not automatically perform every role.

Hardware components

  • Phone, tablet, laptop or all-in-one terminal
  • 58mm or 80mm receipt printer
  • Kitchen printer or KDS screen
  • Cash drawer
  • Barcode scanner where relevant
  • Customer display
  • Bank or payment-provider terminal
  • Router, power backup and internet backup

Cloud and offline meaning

Cloud POS stores or synchronises business data through online services and lets authorised users access reports across devices. Offline capability usually means selected functions continue locally, not that every payment and live update works without internet.

Rosuii can queue cash orders on a previously synced device and upload them when the connection returns. Online payments, new online orders and live KDS or multi-device updates need internet.

Do you need a dedicated machine

Not necessarily. Rosuii runs in a browser/PWA on compatible existing devices, so a small restaurant can start with a phone, tablet or laptop and add a thermal printer later.

A dedicated all-in-one terminal can be valuable for a permanent high-volume counter, but it should be a choice based on ergonomics and durability, not a software requirement.

One-sentence buying rule

Write the required outcome before the product: take orders, print receipts, send KOT, accept cards or run reports. Then buy the software, device, printer and acquiring service that cover those outcomes without assuming one POS machine does everything.

POS is a business event and a system

POS expands to point of sale: the point where a business records what is being sold and completes or records payment. In restaurant conversations, POS can also mean the software workflow or the physical device used at that point. Ask which meaning a vendor or bank intends.

A restaurant POS order may continue into kitchen production, table service, delivery, inventory and reporting; a bank card terminal primarily processes payment. The two can connect but are not interchangeable.

Common POS meanings

Use exact nouns in quotations and requirements. POS machine alone is too ambiguous for a buying decision.

Restaurant POS event flow

A complete workflow can validate menu and modifiers, calculate the bill, record payment state, route production, issue receipt, update order state and feed reports. Each event needs a stable order ID and attributable user. A printed receipt alone does not prove payment settlement or kitchen completion.

Define refund, cancellation, void, discount, shift close and outage behaviour before rollout. These controls distinguish an operational POS from a simple calculator or payment device.

Questions before buying a POS machine

Request exact model, plan and written scope. Test an order from item selection through kitchen, payment, receipt, refund and close where those functions are promised.

Create an architecture sheet showing application, device, printer, payment provider, branch network, data store and responsible support party. Label every interface and authoritative record. This prevents a payment-terminal failure from being reported as a POS sale problem and helps staff escalate correctly.

At acceptance, record serials, software version, user roles, supported offline functions, tested payment states, export result and fallback. Keep the sheet current after device, provider or plan changes. Do not use the broad term POS machine in contracts when the exact component and obligation can be named.

  • Is this software, hardware, payment terminal or bundle?
  • Which restaurant workflows are included?
  • Which operating system and updates?
  • Printer, drawer, scanner and display ports?
  • Offline behaviour and sync?
  • Payment provider and fees?
  • Branch/device/user limits?
  • Data export and ownership?
  • Warranty and local service?
  • Total delivered and recurring cost?

POS means Point of Sale. The useful system is the combination of software, device, printer, network and payment method that completes the sale and keeps an accurate restaurant record.
