POS machine full form is Point of Sale machine. Point of sale is the place and moment where a business records a sale and the customer pays. In modern use, a POS system combines hardware and software to process that transaction and manage related operations.

The word machine creates confusion. In Bangladesh, it can mean a restaurant billing terminal, an Android device with printer or a bank card terminal. Those products overlap at checkout but are not the same.

A restaurant POS builds dine-in, takeaway or delivery orders; applies variations, add-ons, discounts, service charge and VAT; sends production details to KOT or KDS; records payment; and produces reports.

Hardware makes the workflow visible and printable. Software carries the business rules and records. A touchscreen without suitable software is only a computer; software can run on different screens.

How a sale moves through POS

The cashier selects items and the system calculates the total. The order goes to the kitchen, payment is recorded and a receipt is printed or sent digitally. Sales data then feeds day close and reports.

If the customer uses a bank card, a payment terminal may authorise the transaction separately. The POS software should record the result, but one device does not automatically perform every role.

A complete workflow can validate menu and modifiers, calculate the bill, record payment state, route production, issue receipt, update order state and feed reports. Each event needs a stable order ID and attributable user. A printed receipt alone does not prove payment settlement or kitchen completion.

Define refund, cancellation, void, discount, shift close and outage behaviour before rollout. These controls distinguish an operational POS from a simple calculator or payment device.

Questions before buying a POS machine

Request exact model, plan and written scope. Test an order from item selection through kitchen, payment, receipt, refund and close where those functions are promised.

Create an architecture sheet showing application, device, printer, payment provider, branch network, data store and responsible support party. Label every interface and authoritative record. This prevents a payment-terminal failure from being reported as a POS sale problem and helps staff escalate correctly.

At acceptance, record serials, software version, user roles, supported offline functions, tested payment states, export result and fallback. Keep the sheet current after device, provider or plan changes. Do not use the broad term POS machine in contracts when the exact component and obligation can be named.
