Expenses and P&L

See what a Bangladesh restaurant spends, and what it actually keeps

Rosuii records every restaurant expense with a category, a vendor, a payment method and a photo of the receipt, through an approval step. The profit-and-loss view then sets your revenue for a date range against approved expenses and the salaries actually paid in it, and shows the net profit and margin.

Expenses and P&L

Who this feature is for

For owners who can see their sales but cannot say what is left at the end of the month

  • Owners reading sales totals with no view of cost
  • Restaurants whose expenses live in a notebook or a phone gallery
  • Multi-outlet operators who need expenses kept per outlet
  • Managers who should record a cost but not approve it

Operational benefits

What this changes in daily service

A cost record that survives the month

Rent, gas, utilities, repairs and ad-hoc purchases are entered with a category, a vendor and the receipt image, instead of being remembered.

Someone approves before it counts

An expense is recorded by whoever paid it and counts toward profit only once it is approved or paid, so the figure is not whatever the last person typed.

Revenue against cost, for a period you choose

Pick a date range and read revenue, expenses by category, salaries paid, net profit and margin together.

How it works

The workflow, step by step

1. Set your categories

Create the expense categories your restaurant actually uses — rent, gas, utilities, maintenance, marketing.

2. Record as you spend

Enter the amount, date, category, vendor and payment method, and attach the receipt.

3. Approve it

An approver marks it approved or paid. Only then does it count as a cost.

4. Read the period

Open the profit-and-loss report for the range you care about and read net profit and margin.

Frequently asked questions

Can I see whether my restaurant made a profit this month?

Yes. The profit-and-loss report takes the date range you choose, totals revenue from orders that were not cancelled, subtracts expenses marked approved or paid and salaries actually paid in that range, and shows net profit and the margin. Expenses are also broken down by category.

Does the profit figure include the cost of ingredients?

No. Net profit here is revenue minus recorded expenses and paid salaries. Ingredient cost is reported separately in the food-cost report. If you want purchases reflected in profit, record them as expenses as well.

Can I attach the receipt to an expense?

Yes. An expense carries an amount, date, category, vendor, payment method, a reference number and an attached receipt image, so the paper slip does not have to survive.

Can a manager record an expense without being able to approve it?

Yes. Recording and approving are separate, and an expense only counts toward profit once it is approved or paid.

Can I keep expenses separate per outlet?

Yes. An expense belongs to an outlet, and the reports follow the outlet you are looking at.
